Tasks are managed at the facility level.
Create a Task #
- Select Task on the sitemap.
- Select Create New below Filters.
- Select Facility from the drop down list – if the user is only associated with one facility, the facility is automatically selected, and no action is required.
- Select the Location and Room if applicable.
- Enter the task title.
- Select the Start Date by typing the start date or click the calendar icon to select the start date.
- Select the Start time field to set the start time.
- Select the Due Date by typing the start date or select the calendar icon to select the start date.
- Select the Start time field to set the start time.
- Type the task Description.
- If this task is a subtask, select the Parent Tasks from the dropdown list.
- Select the Priority from the dropdown list.
- Select the Progress from the dropdown list. By default, To Do is selected.
- Select the Type from the dropdown list.
**Note** Alternatively, you can access Task from a facility, resident or staff detail pages.
Add members #
Members are users that are following the task and receive notifications. Once a user is a member of the task, they may be assigned to the task. An owner must be a member of the task. Assigned to is for the user completing the task. The owner is responsible for managing the task.
- Select the Members field – Multiple users can be added to a task.
- Select a user to add as a member of this task.
- Repeat this for each user to add as a member to this task.
Add task owner #
The task owner is the user responsible for overseeing this task.
- Select the Owner field.
- Select the task owner from the dropdown list. There can only be one task owner.
Assign users to a task #
Tasks can be assigned to more than one user.
- Select the Assign To field.
- Click on a user to assign to this task.
- Repeat this for each user to assigned to this task.
Add residents #
- Select the Residents field – Multiple Residents can be added to a task.
- Select a Resident to add to this task.
- Repeat this for each resident to add to this task.
Add tags #
Use Tags for more granular reporting.
- Select the Tags field.
- Click on a tag to assign to this task.
- Repeat this for each user assigned to this task.
Add an attachment to a task #
Attach a local file #
- Select the Add an Attachment button
- Select the Attachment radio button.
- Enter the attachment title to provide a more user friendly file name.
- Select the Choose Files button and select all files to upload.
- Enter a description.
Attach a link #
- Select Link to include a link to a file located in a 3rd party file manager such as Empower Drive, OneDrive, Google Drive, Dropbox…
- Type the attachment title to provide a friendly link name.
- Enter the shared link from the 3rd party location.
- Enter a description.
Create multiple tasks #
- Select Duplicate Tasks field.
- Enter the number of tasks to duplicate.
Save the new task #
- Select the Create button to save this task.
After you create a task, you can edit the duplicated tasks and set the details following the instructions above. Repeat this process for each duplicate task created.
Create Subtasks #
- Select the Add New Subtasks button.
- Enter a title and description.
- Select the Save button.
Edit Subtask details #
Once the Subtask is saved, there 3 ways to edit a Subtask:
- Subtask list on Parent task detail.
- Quick update subtask slider.
- Subtask detail.
Edit Subtask from Subtask list on parent task detail #
From this section, you can edit the Members and Assign to lists and clone the subtask.
Edit Subtask from Quick Update Subtask slider #
- On the parent task, go to the Subtask list.
- Select the 3 dots under Details, next to the subtask. This opens the Quick Update Subtask slider.
- Edit fields.
- Select Update.
Edit Subtask from Subtask detail #
- On the parent task, go to the Subtask list.
- Select the 3 dots under Details, next to the subtask. This opens the Quick Update Subtask slider.
- On the Quick Update Subtask slider, select the edit icon on the top right. This opens a separate detail page for the subtask.
- Select the Edit button to edit the Subtask.
- After saving the edits, select the Back to Parent Task to go back to the parent task.
