Creating and managing appointments can’t be any simpler. With this intuitive appointment form, you can do all of your important tasks and actions without navigating to different parts of the application.
Create appointments in Empower Group Care for individuals and groups. You can view all appointments, assign residents/patients, and assign to staff, all in once single place.
Create an Appointment #
- Sign in to Empower Group Care.
- In the sitemap, select Appointment.
- Select Create Appointment.
- Select the facility.
- Select the Facility Locations if applicable.
- Select the Appointment Type.
- Select the Visit Type.
- Enter a Title
- Select your appointment Status. Set your appointment to active when ready to use.
- Add any relevant Notes.
- Select Notes.
- Select Create.
*NOTE* If there is only one option for any of fields above, it is preselected and does not require any interaction.
Edit Appointment Schedule Details #
After creating an appointment, additional details are available for adding more appointment information.
Edit appointment schedule #
- Set the Start Date of the appointment by either typing the date or selecting it from the calendar popup.
- Enter the starting Time of the appointment.
*NOTE*
When creating a group appointment, an appointment for multiple residents, each individual appointment within the overall appointment is referred to as a visit. *NOTE END*If this is a group appointment, select the starting time of the first visit.
- To enable Buffer Time, toggle to yes and enter Minutes. Buffer time allows for time in between each appointment.
- Select Update to save.
Edit appointment members #
Members are all users that are following the appointment and receive notifications. Once a user is a member of the appointment, they may be assigned to the appointment. An owner must be a member of the appointment. Assigned to is for the user completing the appointment. The owner is responsible for managing the appointment.
Add residents to an appointment #
- To add one or more residents to the appointment, Select the Select Residents button.
- Select the checkbox for each resident to add to the appointment.
- Select Submit.
Manage selected residents for the appointment #
To manage the selected residents toggle the status to EditTable.
- Use the drag and drop feature to change the order of each appointment. When changed, the times will adjust.
- The duration and start time may be changed for each resident individually by clicking the edit icon.
Manage visit notes #
Visit notes are for the user fulfilling the appointment to enter details.
- Select Add Notesto open a note.
- Update the note details and select the Visit Status dropdown to change the status of the visit.
- Select Submit Visit Notes to save the note.
Completing the appointment #
The status of the overall appointment status is automatically adjusted from Not Started, In Progress or Completed based on visits. When all visit statuses are not started, the overall appointment status is not started. Once one visit is moved to in Progress or completed, the overall appointment status automatically changes to In Progress. When all visit statuses are completed, the overall appointment status automatically changes to Completed.
